Terms for professionals and organizations using MyIceGuide.

1. Professional accounts

These Professional Terms apply to notaries, funeral organizations, advisors, executors, estate professionals, and other users who register for professional access to MyIceGuide.

Professional accounts are separate from personal vault subscriptions. A professional may register and collaborate with clients without maintaining a personal vault subscription.

Client approval is always required before professional access becomes active. The vault owner remains in control of who may access their information.

2. Organization accounts

Organizations may create accounts, invite members, assign roles, and manage client dossiers as a team.

Organizations do not gain automatic access to any client vault. Each client decides what access to grant, and access can be revoked at any time.

Organization administrators are responsible for how their members use the platform within approved access.

3. Verification requirements

Organizations may request verification using KVK register data or manual review. KVK data may be used to verify organizations. Verification confirms organization identity only — it does not grant client access.

We may approve, reject, or revoke verification where information is incomplete, inaccurate, or misleading.

4. Client consent requirements

Professionals and organizations only receive access after explicit approval by the vault owner.

Access is permission-based. A professional sees only the information, documents, messages, and dossier areas approved by the client.

Vault owners may change or revoke access at any time. You must stop using client information that is no longer within your approved access.

5. Acceptable use

You must use MyIceGuide lawfully, professionally, and only for legitimate client work.

You must not attempt to access vault data, billing, trusted contact controls, or account recovery features outside your approved permissions.

Misuse may result in suspension or termination of professional or organization access.

6. Data handling responsibilities

You are responsible for the accuracy, confidentiality, and lawful handling of client information you access through MyIceGuide.

You must only access information required for your work with a client and must not share client information outside approved channels without proper authority.

Our Privacy Policy describes how MyIceGuide processes personal data. You remain responsible for your own professional obligations under applicable law.

7. Messaging and communications

Secure messaging through MyIceGuide is provided for client collaboration within approved access.

You must not use messaging for unlawful, harassing, misleading, or unrelated marketing communications.

Message content may be retained as described in our Privacy Policy until deleted or access ends.

8. Document management

You may request documents from clients or upload documents on their behalf only where your approved access allows it.

You remain responsible for ensuring uploaded documents are relevant, accurate, and handled in line with your professional duties.

Document requests, uploads, and workflow status may be recorded for audit and support purposes.

9. Suspension and termination

We may suspend or terminate professional or organization access for breach of these Professional Terms, the general Terms of Service, security concerns, or non-payment where applicable pilot or partner arrangements exist.

Clients may revoke your access at any time. Upon revocation or termination, you must cease using client information outside what you are legally required to retain independently.

10. Liability limitations

MyIceGuide provides collaboration tools but does not provide legal, tax, funeral, financial, or estate advice.

To the maximum extent permitted by law, the limitations and disclaimers in our general Terms of Service also apply to professional use of the platform.

Nothing in these Professional Terms limits rights that cannot be excluded under mandatory law.
